One of our clients is a leading supplier in the curtain walling sector, designing, manufacturing and installing non-structural cladding for architectural projects. Based out of headquarters near Rimini in Italy, the organisation also has a base of operations in west London.

The company had a confusing fleet of print and document solutions equipment at its UK site, with multiple desktop devices across the office. Cost control was of paramount importance, as the variety of consumable items for different printers was proving costly and difficult to manage.

Additionally, the client was keen to optimise the print fleet for wireless and mobile printing to improve productivity and provide offsite project teams with remote access.


Blackbox Solutions conducted a thorough audit of the client’s print, copy and scan infrastructure. The existing fleet comprised individual desktop devices, which were a mixture of different makes and models. The system was expensive as the machines required a variety of different consumable materials, including inks, toner and paper. Blackbox implemented a strategy to centralise all document production by installing a number of multi-functional devices (MFD).

The new state-of-the-art Samsung MFD’s are able to print, copy, scan and fax, with greatly improved image quality. The devices are also able to automatically archive files or distribute documents to recipients via email, and all are optimised for mobile and wireless printing.

Blackbox Solutions introduced strict cost control by implementing a managed print services (MPS) approach to document production. MPS has provided visibility and control of printing across the business, helping employees to consider their printer usage and change their behaviour to eliminate unnecessary printing. This approach will also help to improve environmental sustainability by significantly reducing waste printing.

Reliability was a key concern to ensure that project teams were able to consistently access the print fleet remotely from sites across London. Wireless printing was required at the site locations to enable engineers and construction professionals to print with ease from a range of portable devices, such as tablets, mobile phones and laptops.

In order to simplify and coordinate the re-ordering of consumables, Blackbox Solutions installed remote diagnostic software on all the new MFD printers. The software automatically notifies Blackbox Solutions when printer ink or toner are running low and triggers a request to re-supply the necessary consumables before their end of life. Meter readings are emailed to Blackbox Solutions’ finance department directly from each device for seamless billing. Effective fleet management of the devices ensures the highest uptime for each machine.

Blackbox Solutions also conducted a careful audit of all existing IT and telecommunications infrastructure, with a view to implementing new systems which could further reduce expenditure and improve productivity.

Blackbox Solutions concluded that the existing internet access was insufficient to support the use of VOIP (Voice over Internet Protocol) telephones and widespread internet use. Blackbox installed a number of 4G Wi-Fi routers to implement a new VOIP telecommunications system, in order to reduce the business’ telecoms expenses. Each of the Asus 4G N12 routers runs on the EE network, the fastest in the UK, ensuring the VOIP system can run smoothly alongside the company’s ongoing requirements for internet use.


The new devices have reduced document production costs significantly, while improving quality and productivity. By centralising the print fleet, the client has benefitted from the very latest technology, including wireless and mobile printing in order to provide remote access to off-site project teams. With the addition of managed print services, companies can expect to cut print costs by up to 30%, while the rationalisation of the print fleet will further reduce expenditure on consumables.
